Services Administrator (Part-Time up to 25hours per week)

We are looking for an experienced and highly motivated induvial to provide comprehensive administrative support to our Repairs and Factoring Team supporting the delivery of robust maintenance/void management and factoring.  

The successful candidate will be performance driven, demonstrate role flexibility, proficient ICT skills as well as excellent multi-tasking and interpersonal skills.   Customer service experience including complaints handling is essential for this role.  

This is a new role within the department and hours of work can be negotiable. Minimum of 17.5 hours up to a maximum of 25 hours per week to be agreed prior to appointment. 

Core Responsibilities: 

  • Commitment to enhanced customer service through the provision of quality advice, information and support to residents and the community. 
  • Maintaining comprehensive and accurate records, reporting and administrative systems.  
  • Engaging in effective, appropriate and professional conduct.  
  • Delivering high standards of performance.  

Key Tasks:

  1. Provide frontline customer service and administrative support to the Repairs and Factoring service and team.  
  2. Provide customer service and administrative support to the wider organisation, subject to organisational needs. 
  3. Liaise with customers to accurately record details of property repairs, including providing information on the Statutory Right to Repair. 
  4. Process works orders, and liaise with contractors to ensure compliance with response times.
  5. Manage complaints in accordance with SPSO framework and GWHA’s Complaints Handling Procedure.
  6. Ensure robust management of key register and long term void inspections / administration.
  7. Co-ordinate customer / contractor / service officer access to facilitate property inspections and work progress.
  8. Assist with day to day administration of insurance claims and follow up required actions. 
  9. Maintaining and updating records/systems and preparing statistical information for reporting purposes. 
  10. Any other tasks / duties as required.
